Privacy Policy

Who we are

This is the privacy policy of Layerfive Group. It explains what personal information we keep in our employee management system, why we keep it, who can see it, and the choices you have.

What information we keep

  • Your details: name, employee ID, photo, date of birth, gender, nationality, phone number, personal email and home address.
  • Your employment: job title, department, who you report to, whether you are permanent or on contract, your work arrangement, hire and end dates.
  • People to contact for you: your next of kin and emergency contact.
  • Documents you give us: identity documents, licences, work permits, contracts and certificates, including their numbers and expiry dates.
  • Time and leave: clock-in and clock-out times, attendance, and leave requests and balances.
  • Pay: your salary structure, payslips, tax and pension deductions.
  • Performance and conduct: reviews, goals and any disciplinary records.
  • Health and safety: incident reports and safety certifications.
  • Using the system: your login details, and a record of changes made in the system and by whom.

Why we keep it

  • To employ you and manage your work: contracts, attendance, leave and pay.
  • To keep people safe on site and meet health and safety duties.
  • To meet our legal obligations, such as tax, pension and employment law.
  • To keep the system secure and to investigate misuse.

We do not sell your information, and we do not use it for advertising.

Who can see it

  • You can see your own profile, attendance, leave and payslips.
  • Your manager can see what they need to run the team, such as attendance and leave requests.
  • HR administrators can see employee records, including pay, performance and disciplinary records, so they can do their jobs. Access to sensitive sections is limited to people who need it.
  • Service providers that help us run the system, such as hosting and email delivery, handle information only to provide that service.
  • Authorities and regulators, where the law requires us to share it.

How we protect it

  • Access is controlled by role, so people only see what their job requires.
  • Passwords are stored in scrambled form, never as plain text.
  • Administrator accounts can be protected with two-factor authentication.
  • Changes to records are logged, and regular backups are kept.

Cookies

We use only the cookies the system needs to work: one to keep you signed in, one to remember your sign-in if you choose "Remember me", and one that notes you have signed in before so we can tell you if your session times out. Your light or dark mode choice is stored in your browser. We do not use advertising or tracking cookies.

How long we keep it

We keep employee records for as long as you work with us and afterwards for the period the law or our legitimate business needs require, after which they are deleted or anonymised.

Your rights

You can ask to see the information we hold about you, ask us to correct anything that is wrong or out of date, and, where the law allows, ask us to limit or delete it. You can also complain to the data protection regulator, the Nigeria Data Protection Commission. Please contact the HR department to make a request or to ask a question about this policy.

Changes to this policy

If we change how we handle your information we will update this page.
